GUIDE FOR LOCATING RESOURCES FOR EDUCATORS ON THE MMA WEBSITE

VISIT the Museum’s website: www.metmuseum.org

1. Select Learn on the website’s home page. You will find a selection of online features for educators and other visitors to explore the Museum’s collection.

2. Select For Educators

Most of these publications are in PDF format and may be downloaded and printed. The lesson plans are grouped according to grade level. Many plans overlap grade ranges yet can be tailored to suit individual needs. Within each lesson plan is a section that lists “Resources.” Each resource links directly to a record in the library’s online catalog: Watsonline or to the Heilbrunn Timeline of Art History.

FIT is hosting the annual meeting of librarians from the State University of New York system this year and asked if we would offer a tour of Watson for a group of 20 or so librarians. They will come at 3:00 on June 8 for a tour of Watson with Ken, a visit to Book Conservation, a conversation session with a group of staff members, and a visit to Nolen.

We will use the Periodicals Room for the discussion, so it will be closed to visitors for half or three-quarters of an hour, from 3:45 to 4:30 or so. Thanks to the staff members who have agreed to participate (Ken, Mindy, Holly, Linda, Lisa, Dan, Robyn, Deborah, Ross, Naomi).

The Friends of the Library will have their annual show & tell of selected special purchases made with Friends’ funds over the fiscal year on Wednesday, June 6, from six to eight in the evening. Ken, with Holly’s help, will be setting out the books on the back tables in the Reading Room over the course of the day, and we will need to close the room a little early (5:30) to set up the refreshments.

It is always a fun and relaxed evening with an interesting array of items on view and a really good feeling among the Friends. I know you hear a lot about them and seldom get to meet them; here’s your chance. Staff members who would like to attend are very welcome, though Ken wants it to be clear that no one is required to stick around. If you’d drop me a note to let me know, I’ll be better able to judge the quantity of hors d’oeuvres required.

On April 3rd, Vika and I provided a presentation on behalf of MrSip to the Department of European Paintings, which was attended by nearly all members of the department. The presentation focused on the following items:

Watsonline (My Library Account): how to save searches and discover newly-acquired books in your research area

Europeana www.europeana.eu/portal

NICE (National Inventory of Continental European Paintings) www.nicepaintings.org

Photo Archives on ARTstor

Fondazione Federico Zeri (Università di Bologna) www.fondazionezeri.unibo.it

Frick Art Reference Library Photoarchives www.frick.org/photoarchive/access.htm

Réunion des Musées Nationaux www.photo.rmn.fr

Gale Historical Newspapers Collections

Staff had several questions about additional European photo archives. Copied below is part of the follow-up email that was sent to the department with answers to those questions.

1. Are the collections of the Witt Library (Courtauld Gallery) available online?

None of the images from the Witt Library are available online and, according to the staff I contacted at Courtauld Images, there seem to be no immediate plans to digitize them. Currently, the only way to acquire images is to visit the Witt Library directly. The staff said they may be able to arrange for requested images to be digitized, assuming there are no copyright restrictions or conditions. However, there is a charge for this service of £16 per image plus £5 handling.

The website for Courtauld Images http://www.courtauldimages.com/, does however include some digital images from the collections of The Courtauld Gallery and Conway Library.

Contact Information:
Courtauld Images (SCTE Ltd)
The Courtauld Institute of Art
Somerset House, Strand, London WC2R 0RN
Tel: + 44 (0)20 7848 2879
Fax: + 44 (0)20 7848 2589
images@courtauld.ac.uk
www.courtauld.ac.uk

2. Is any part of the Berenson Collection and Fototeca available online?

Various parts of these collections are in the process of being digitized and cataloged. Only once images are cataloged will they appear in VIA, Harvard’s Visual Access Information online catalog - http://via.lib.harvard.edu/via/deliver/advancedsearch?_collection=via

Berenson Art Collection: A digital photographic campaign of all the paintings and sculpture in the Berenson Art Collection began in 2011. While the digitization process will be finished by the end of this Spring, there is no estimated time for when these digital images will be cataloged and made available online. I was told however, that a selection of some 80 paintings will be published in VIA in the next few months. All the existing analog photographs of the Berenson Art Collection held in the Fototeca have also been digitized and will be part of a future cataloging project.

Fototeca B&W Photos: Some 3,500 images of the 4,637 mostly black and white prints – including the backs of photographs with significant information – have been digitized. They will be cataloged in the near future and made available directly through the I Tatti’s website as a “virtual” Berenson Collection, as well as through VIA.

“Homeless Paintings of the Italian Renaissance”: A project to digitize photographs from the Berenson Fototeca of Italian drawings or paintings whose current location is unknown or, following Berenson’s classification, “homeless”. So far, the photographs of the Florentine and Central Italian Schools have been published online. The first part of the Venetian School is about to be published. Published images are available in VIA – see access instructions below.

“Life of Saint Francis Fresco Cycle in Assisi”: This collection consists of over 1,500 photographs documenting the frescoes in the Basilica of S. Francesco in Assisi during the 1974-1983 restoration, before the 1997 earthquake. All of this collection is available in VIA – see access instructions below.

To view the part of the Berenson Fototeca currently available on VIA:

Go to VIA http://via.lib.harvard.edu/via/deliver/advancedsearch?_collection=via

In the “Limit Repository to” field midway down the page, select “Biblioteca Berenson” from the drop-down menu.

Click Search

N.B. All catalog records and thumbnail images are available to everyone, but access to higher resolution images is usually only available to the Harvard community, is always determined by an individual repository, and is often dependent on copyright. For more information about the collection and copyright see http://hul.harvard.edu/cmtes/ulc/aac/via/desc-Itatti.html

Naomi and I met with Deborah Jaffe and Rebecca McGinnis from Access Coordination to learn about some of the ways we may better serve our library visitors with disabilities. We also received guidance on best practices for handling rare instances when a visitor with a disability is being disruptive or uncooperative. Access Coordination is eager to answer your questions, and we hope to schedule some training opportunities for library staff and volunteers in the coming months.

Tips for Interacting with People with Disabilities

How to Help

Introduce yourself and offer assistance

Don’t be offended if your help is not needed

Be polite and patient when offering assistance.

Be courteous, but not condescending

Assist disabled persons when necessary or requested, but do not discourage their active participation

Allow people the dignity to make their own choices

Things to Remember

Treat people as you would like to be treated

Be considerate of the extra time it might take for a person with a disability to do or say something

Never pretend to understand what a person is saying. Ask the person to repeat or rephrase, or offer a pen and paper

A handshake is NOT a standard greeting for everyone. When in doubt, ask the person whether he or she would like to shake hands with you. A smile along with a spoken greeting is always appropriate

The wheelchair is part of the user’s personal space

Address the person with a disability, not just companions

It is okay to use common expressions like “see you soon,” “I’d better be running along,” or “I hear that”

Relax. Anyone can make mistakes. Offer an apology if you forget some courtesy. Keep a sense of humor and willingness to communicate

When you meet a non-verbal person

Some people who are non-verbal prefer to communicate by writing on paper, some use sign language and some use a sign board. These methods can be slow and require patience and concentration. You may have to handle much of the conversation yourself

Try to keep in mind that communication is the important thing

Try to use more yes/no questions

If possible, fill in the gaps when you can so the non-verbal person will need to expend less energy getting the message across

Be patient

Guidelines for Speaking and Writing about People with Disabilities

Positive language empowers. When writing or speaking about people with disabilities, it is important to reflect the individuality, equality or dignity of people with disabilities. When thinking about people with disabilities, think about people first.

Here is a set of guidelines to help you make better choices in terms of language and portrayal. These guidelines offer suggestions for appropriate ways to describe people with disabilities.

Focus on the individual, not on his or her disability, which is only one facet of the person. In all cases try to keep the person’s disability in proper perspective, without unduly magnifying its importance.

Put people first, not their disability. When speaking or writing, say woman with arthritis, children who are deaf, people with disabilities. Crippled, deformed, suffers from, afflicted by, victim of the, retarded, infirm, etc., are never acceptable.

Emphasize abilities, not limitations. Consider ‘uses a wheelchair’ or ‘walks with crutches’ rather than ‘confined to a wheelchair’ or ‘crippled’. Avoid use of inappropriate emotional descriptors such as unfortunate or pitiful.

Portray successful people with disabilities as successful people, not super humans. Even though the public may admire super achievers, portraying people with disabilities as superstars raises false expectations that all people with disabilities should achieve at this level.

Be accurate in describing disabilities. For example, people who had polio and experience after effects years later have a postpolio disability. They do not have a disease. Reference to disease associated with a disability is acceptable only with chronic diseases, such as arthritis, Parkinson’s disease, or multiple sclerosis. People with disabilities should not be referred to as “patients” or “cases” unless the relationship with their doctor is being discussed.

We always want to do our best to provide excellent service to all Museum visitors. Providing “reasonable accommodation” to our visitors is something we strive for. And it can be noted that under the Americans With Disabilities Act, ” The ADA does not require modifications that would fundamentally alter the nature of the services provided by the public accommodation.” (http://www.ada.gov/qandaeng.htm) Therefore, it is within our right to politely ask a visitor who is being excessively disruptive or destructive to leave the library. We are always encouraged to call Security for assistance mitigating a challenging situation.

Videos, presentations and documents from this meeting are available here: http://www.oclc.org/us/en/multimedia/2012/global-council-04-2012.htm

I recommend watching “Reflections from Jay Jordan” (Wednesday morning) and a keynote address by Sue Polanka, Head of Reference and Instruction, Wright State University, Dayton, Ohio (Monday afternoon). Jay gave an excellent overview of OCLC’s history and priorities, and Sue offered an in-depth analysis of how our users behave in the library universe driven by the “eFactor” (it is a long talk, but watch at least first 20 minutes).

Highlights from the April 16-18 OCLC Global Council Meeting in Dublin, Ohio, USA:

Anne Prestamo, Associate Dean for Collection and Technology Services, Oklahoma State University, University Libraries, was elected Vice President/President-Elect of Global Council. Election results for the cooperative’s three Regional Councils-Americas Regional Council; Europe, Middle East and Africa Regional Council; and Asia Pacific Regional Council-were also announced.View news release

Global Council delegates elected two librarians to serve on the OCLC Board of Trustees: Loretta Parham, CEO and Director of the Atlanta University Center Robert W. Woodruff Library, and Jennifer Younger, Executive Director, Catholic Research Resources Alliance. Each will serve a four-year term beginning with the next OCLC Board meeting in November.View news release

Delegates passed two resolutions, one honoring Jay Jordan, OCLC’s President and CEO who is retiring June 30, and one advising the cooperative on steps to move to an Open Data Commons Attribution License (ODC-BY).Resolution of appreciation in honor of Jay JordanResolution on Open Data Commons Attribution License

The new OCLC president will be announced in late May.

RDA for WorldCat update. ”WorldCat has been a hybrid database from the beginning”, it can accommodate different standards; RDA will not be required for WorldCat records.

I always find the IUG conference to be full of useful presentations from both Innovative staff and IUG librarians and this year was no exception. Additionally, I got useful information from poster session and the Innovative booths.

Highlights
Opening Session:
Neil Block, the president of Innovative as of 2010, gave a presentation highlighting the following:

III has a new investment partnership with Huntsman and JMI equities

Jerry Kline continues to be the Chairman of the Board

Other staff changes include Betsy Graham as Library Services VP, Brent Ahlmann as Customer Services Specialist and Hilary Newman as Product Development VP

Emphasized the III continues to be a stable organization

Sierra

Now one year old

Postgres SQL database

100% Millennium functionality

From CS Direct: Providing complete ILS functionality with the power and scale of modern software architecture and built on a foundation of “open services”, Sierra will provide all the benefits of proven, stable business logic and integrated resource management on which thousands of libraries rely.

Uses a dashboard feature

Desktop app with all staff functions (Cat, Acq, Circ, Stats, etc.) in a drop down menu. No need to load a separate client for each function.

Customizable

Allows cataloging with facets (format, mat type, language, etc.)

Advanced Search feature for Create Lists functionality

Currently in Phase 2 – 4 libraries are up and running with Sierra, 838 libraries have committed to Sierra

Hillsdale College first library to go live with Sierra

Allows web-based Circulation

More intuitive hold process (“like Netflix”)

Record transaction tracking

No longer calling it an “ILS”, but a “Library Services Platform”

Key directions for the future: open development, cloud strategy (III cloud) and total resources.

“A better way to open (source)” – Sierra is supposedly the best of both worlds. Your data is open. Open service enabled development (library developed apps, simpler 3rd party integration, maintain existing workflow logic).

Encore Social 5

In beta

Improved patron experience

“User aware” browse

Patron record view in “bento boxes”

Interest enabled results

virtual collaboration spaces

Reporter

A new product that “seamlessly integrates circulation, patron, collection and acquisitions data for direct access to more complete and accurate reports…complex transactional data is taken from Millennium and collected in a powerful, new, multi-dimensional data store…provides visually elegant reports on key performance indicators, expenditure trends, operational statistics, patron and material usage analysis, and more…”

Kinds of reports:

Call Number

Expenditure

Holdings

Turnover

Owning Location

Circulation

Summary

Decision Center

Decision Center is a new decision-support product that can dramatically improve a library’s collection and operational efficiency. Decision Center generates recommendations that span collection development and weeding; circulation and transit; budgeting; and more. Read more here or write info@iii.com.

Opting to not a have a keynote speaker this year, the steering committee decided to make the opening session “all about IUG”, so they had past Steering Committee heads talk about their IUG memories and showed a self-congratulatory video about the history of IUG.

Sessions I attended that were worthwhile:

Taskforce Inventory: Using Circa wireless inventory @ the James E Walker Library

Powerpoint: S:\CIRCULATION\milcirc\taskforceinventory.pptx

Salient Points: Using a wireless barcode scanner (WASP WWS500), SCAT tables must be accurate to compare books on shelf to shelflist, inventory date is automatically entered into item record when barcode is scanned, everything has to be barcoded.

Statistics and Reporting (Innovative)

Powerpoint: S:\CIRCULATION\milcirc\iug2012_E7.pps

Salient Points: An overview of the 3 report types offered in the Stats module (Field Stats, Periodic, Cross- Tab), if you want to report on something, it must be coded into a fixed field, Field Stats are useful for data clean-up, all reports can be run off of review files, recommendations for annual data reviews, Periodic reports are useful for year by year comparison, Reporter provides stats on cataloging and circ activity over a selected time period for collection development purposes

Loan Rule Determiner Visualization

Steve Fernie, Web Services Coordinator, Georgetown University

Powerpoint: S:\CIRCULATION\milcirc\loan-rule-determiner-viz-IUG2012.pptx

Salient Points: Millennium works from the bottom up of the table to determine loan rule, search & sort the determiner table, normalize the formatting, expandx hyphenated ranges, expand wildcards, list each “triplet” on its row in the table, use Java app to export into Excel and begin clean-up

Create Lists: Beyond the Basics

Richard Jackson, Database Mgr/Head of Copy Cataloging, Henry E. Huntington Library

Powerpoint: S:\CIRCULATION\milcirc

Salient Points: Richard Jackson is a Create Lists guru

Core Competencies for Library Staff at the Grinnell College Library

Powerpoint: S:\CIRCULATION\milcirc\CoreCompetenciesSlides.ppt

Salient Points: The goals of creating core competencies for all library staff were for goal setting, assess overall training needs, encourage cross-training, standardize basic expectations and encourage new technologies and workflows; determined that they could not assume that everyone on staff was increasing their skills at the same level or speed; competencies tested as self-assessments; each competency had a “challenge task”; one result was one-hour “Tech Topic” workshops each month at the all-staff meeting

Print Templates (Innovative)

Powerpoint: S:\CIRCULATION\milcirc\iug2012_D9_M9.ppsx

Salient Points: Overview of Jasper iReport, if a field isn’t in the Data Library, it cannot be used in a template, much more customization to come in 2012 release, there is a print templates wiki on CS Direct

SCAT Tables and Call Numbers not in SCAT

Ping Fu, Associate Professor/Head of Library Technology Services, Central Washington University Library

Powerpoint: S:\CIRCULATION\milcirc\SCAT.pptx

Salient Points: Gave a practical example to help analyze SCAT table and explain the issue of call numbers not in SCAT that appears in Millennium statistical reports and Web Management Reports.

Sessions I wanted to attend:

Look for their Powerpoints on CS Direct (for those by Innovative staff) or the IUG website (for those by IUG members)

IUG members:

L2 Reference without Books: Using Encore to Survive in an [almost] Bookless Reference Environment

University of Denver’s Penrose Library is being renovated. With all materials offsite, and only a handful of reference books in our temporary location, how can users find what they need and how can reference librarians survive? This presentation will show how we leveraged scoping to provide an electronic reference experience in Encore that works. Encore will be shown to be the critical tool for reference librarians being able to manage, locate, and provide reference services with the paradigm shift from physical books to electronic.

L8 Patron Empowerment: Making Good Service Efficient

Library users: our most valuable resource and asset. How can we best serve this group, leveraging what Millennium can offer to put patrons in the driver’s seat: Express Lane for self checkout, online access to manage holds, E-Commerce to manage fines and fees, personal lists and Reading Histories to manage what’s being read and what to read next. This session will discuss ways to improve the patron experience while lightening staff workload.

IUG2012WebPAC

Innovative:

Library Assessment and Decision Support: An Update on Reporter and Decision Center (E8, P9) Presenter: Maruta Skujina

Millennium Development Update (M8) Presenter: Betsy Graham

Poster Sessions:

Making Rapid Update More Rapid

Powerpoint of poster: S:\CIRCULATION\milcirc\posterrapidupdate.pptx

Creating Easy New Books Lists

PDF of poster: S:\CIRCULATION\milcirc\CreatingEasyNewBooksLists.pdf

Hosted Server Migration: Do’s, Don’ts and “Aha!” Moments

PDF of poster: S:\CIRCULATION\milcirc\postermigration.pdf

Finally, the theme of this year’s dessert reception was “Sparkle and Shine” . I’m not kidding.
